Change of program

Withdrawal

Candidates must formally notify the university when they intend to withdraw from their candidature. Failure to do so may result in the enrolment continuing, and may have financial and other important implications. For more information please contact your Faculty HDR Office.

Attendance

Candidates may be permitted to change from full time to part time enrolment in a PhD or MPhil and vice versa.

Candidates who are in the last 12 months enrolled in a full time PhD or last 6 months enrolled in a full time MPhil (or part time equivalent) will not be permitted to change attendance to part time.

International candidates wishing to change to part time enrolment may only do so subject to visa conditions.

Once approved, a change of attendance will be effective from the first day of the relevant enrolment period (see table below).

The deadlines for submission of the change of attendance request in the current enrolment period are:

Form must be submitted before
For changes to be effective in Enrolment Period 1(1 January to 30 June) 7 February
For changes to be effective in Enrolment Period 2 (1 July to 31 December) 7 August

Requests to vary attendance received after the deadline will be processed for the following enrolment period.

Scholarship holders are only permitted to continue to be paid a part-time award under exceptional circumstances. Please refer to the conditions of your award and attach your written case for part-time candidature (with supporting documents where necessary).

Scholarship holders wishing to change attendance to part time at the expiry of their scholarship must lodge the change of attendance form for the change to be registered commencing at the next enrolment period following scholarship expiry (ie. 1 January or 1 July).Candidates will prepare a progress report and new timeline to completion.

Adding / Deleting units

Higher Degree Research Candidates may enrol into Higher Degree Research Training (HDRT) Units if they are required/supported by their supervisory panel to do so. Unless given special permission, candidates may enrol in a maximum of 1 non HDRT Unit per enrolment period. If a candidate received an offer of candidature letter stipulating compulsory coursework or HDRT units, the candidate will only be automatically enrolled in units in the first full period of enrolment. The candidate must lodge the request on a form to enrol in units in any subsequent sessions to activate their HDRT unit enrolment.

Combined PhD/Master of Psychology candidates may need to enrol in more than one Compulsory Coursework Unit per session as per coursework requirements.

To delete a unit in Enrolment Period 1(1 January to 30 June) 31 March

Change of thesis title

Candidates are allowed, subject to approval, scholarship conditions and the Autonomous Sanctions Act, to change their thesis title.  Insert links

Changing degree to PhD or MPhil

Candidates are allowed to transfer between a Master of Philosophy (MPhil) and Doctor of Philosophy (PhD) or vice versa on the recommendation of the of the Associate Dean (HDR) of the Faculty in which they are registered.

Candidates can apply to transfer (upgrade) between MPhil and PhD after a minimum of one year and a maximum of one and a half years (or part time equivalent) following enrolment in the MPhil.

How to submit an e-form?
Steps to access eforms:

1. Open Firefox

2. Paste this address into the address field https://iris.mq.edu.au/RMENET/

3. Use your OneID username and password to log in

4. Go to the HDR tab and select HDReforms

5. Students chose Create an HDR eform (to create a form) or All HDR eforms to view a current or previous eform

6. Reviewers chose Al HDR eforms to view and process a form

How long does it take for my eform to be processed?

It takes about 10 working days. If you do not have an outcome after the 10 working days is up, please contact you faculty HDR administration to find out the status of the form.

How do I find out if my request submitted by eform has been accepted or rejected?

You will receive an automated email to your student MQ email address alerting you to the fact that your request has been declined, or that the outcome is ready for viewing in the eform.

You can download the official approval letter from the eform. You may also save a copy of the form as PDF. To do this, open the form and go to the report icon in the top-left hand of the form screen to do this.

What do I do if the form has been sent back to me by my supervisor?

You will need to amend the form. To do this you must discuss the required changes with your supervisor/s first, then log in and provide the new information in the old form.

Who will review my request?

Most candidature forms which require the approval from the faculty will be reviewed by the principal supervisor, Head of department, Faculty HDR office, faculty Associate Dean of HDR, HDRO staff and the Director of HDRO.

I am a new scholarship recipient and I want to start receiving my stipend payments. What do I need to do?

HDRO will send you an email requesting you to submit the appropriate e-form. Please follow the instruction in that email sent to your student email address.

Will I be notified of the outcome of my request submitted by e-form?

If you have lodged an COP, LOA, SUP, EXTN, TRF form and your request has been approved, you will be sent an email to your student email account. This email will give you instructions on how to access the outcome. If your request has been declined, you will receive an email in your student account advising you of this fact.
